Vallara, step by step.
Vallara is where your payment operations and finance teams hold digital assets in wallets, send and receive payments, exchange assets, earn yield and control who can do what. There is one guide for each tab in the left-hand menu, with the tasks you will do most often.
Before you start
Four ideas explain most of what you will see on screen: roles, approvals, the five actions and the side panel.
Your role decides what you can see and do
Super Admin
Highest level of access, with global permissions across the platform.
Admin
Full operational control over your organisation's platform.
Member
Standard user who can initiate and operate. Approval rights are limited unless the member is in an approval group. Can move funds internally and run exchange transactions to whitelisted exchanges.
Viewer
Read-only access to your organisation's data. Cannot execute actions.
If a button or tab is missing or greyed out, ask a Super Admin to check your role.
Approvals can sit between you and an executed payment
Your organisation can require one or more approvers for actions such as executing a send, executing a move, adding a beneficiary or adding a bank account. These rules are set up under Team → Approvals. A transaction's details show its approval group, the approvals required and the approvals received.
Five actions appear throughout the platform
Send
Pay a saved beneficiary outside your organisation.
Receive
Show a deposit address and QR code for one of your wallets.
Move
Transfer between your own wallets, with no beneficiary needed.
Exchange
Convert one asset into another through a connected exchange provider.
Earn
Allocate funds to a yield-earning protocol.
They are buttons on wallets, assets and addresses, and they also sit under the Transaction button on the Transactions tab.
Two things you will notice everywhere
Side panels
Most tasks open in a panel on the right. Use the back arrow to step back, the expand icon to widen it to full screen, and the X to close it.
Addresses are shortened on screen
For example 0x4b1e…9f3a. Use the copy icon beside an address to copy the full value.
Only send assets on the network shown for that address. Funds sent on a different network may be lost permanently.
Wallets
Wallets is the home screen of Vallara. Use it to check balances, open a wallet, add addresses, control who can access a wallet and tag wallets so they are easy to find.
Try it: switch between Wallets and Assets. The Fee Wallet always appears first.
Read the Wallets page
Summary cards
Total Aggregate (everything you hold, in USD), Total Assets, Total Allocation (funds allocated to Earn), a Net Flow chart and a Portfolio Concentration chart. Change the period with 1H, 1D, 1W, 1M, 1Y or All, and switch concentration between Asset and Network.
Wallets / Assets toggle
Switches between a list of wallets and a list of assets.
Toolbar
A search box, a filter, a sort control, a book icon that opens the wallet addresses, and a Grid or List view.
Wallet cards
Wallet name, tags, the assets it holds and its balance in USD. The Fee Wallet always appears first.
Do it step by step
To hold more assets or networks later, add addresses to the wallet (see the next tab).
Add an address when a wallet needs to hold another asset or network.
A wallet with changed access shows a Custom Access tag beside its name. Managing wallet access requires the Custom Access permission in your role (see the Team guide). Super Admin always has access.
A statement is a CSV file you can open in Excel or Google Sheets. To download across all wallets instead, use the statement button on the Transactions page.
More from the Wallets tab
The Fee Wallet
The Fee Wallet is a special wallet, highlighted and listed first on the Wallets page. It holds the native tokens that pay network fees, such as ETH on Ethereum and SOL on Solana. When a transaction says “Paid by: Fee Wallet”, the network fee came from here.
- Click Fee Wallet on the Wallets page.
- Read the Estimated Total Wallet Balance and the list of fee addresses by network.
- To top up a network, click Receive, choose that network's address, then copy the address or scan the QR code and send the native token to it.
- To be warned before a network runs low, set a threshold per network under Notifications → Notification settings → Fee wallets.
The Fee Wallet offers Send, Receive and Move. Exchange is not offered, and Earn is switched off.
Open a wallet and read its details
Click a wallet card to open Wallet Details. Use the expand icon at the top of the panel to see it full screen.
| Section | What it shows |
|---|---|
| Header | Wallet name and tags, with an edit icon (pencil) and a wallet users icon (people) |
| Wallet Assets Balance and Wallet Allocations Balance | Value held in the wallet, and value allocated to Earn, in USD |
| Portfolio Concentration | The wallet's mix by Asset or Network over 1H to All |
| Send, Receive, Move, Exchange, Earn | Start that action with this wallet already selected |
| Wallet Addresses | One row per address with asset, network, balance, address, a copy icon and quick actions |
| Wallet Allocations | Earn allocations with protocol, asset, allocation balance, current rate and address |
| Wallet Transactions | History for this wallet: source, destination, amount, asset, network fee, initiator, status and completion time. Search by address or transaction hash |
Each address row ends with a chevron that opens that address. A dimmed quick-action icon means that action is not available for the address.
See balances by asset
Use the Assets view to answer which wallets hold a given asset.
- On the Wallets page, switch the toggle from Wallets to Assets. Each card shows the total of that asset across all wallets, in asset units and USD.
- Click an asset card, for example Bitcoin, to open Asset Details.
- Read the Asset Addresses table. It lists every wallet that holds the asset, with network, balance, address, tag, status and quick actions.
- Scroll down to Asset Transactions for the history of that asset across all wallets.
The Send, Receive, Move and Exchange buttons at the top of Asset Details start those actions for the asset.
Rename a wallet or change its tags
- Open the wallet and click the pencil icon.
- Change the Name, add tags in Tags, or remove a tag with the x on it.
- Click Save.
The Edit Wallet screen also has an Archive Wallet button. Check with your administrator before you use it.
Find a wallet
- Type in the search box to match wallet names, assets, networks and tags.
- Click the filter icon and choose Assets, Networks or Wallet Tags to narrow the list.
- Use tags consistently, for example by team or purpose, so that filtering stays useful.
Exchange
Exchange is where you set up the exchange providers that let you convert one asset into another, and choose which of your wallet addresses those providers may use.
How exchange works in Vallara
Vallara gives you access to asset and currency exchange through regulated partners. Setting it up takes three steps:
Onboard with the exchange provider
Complete onboarding directly with each provider, on the provider's website.
Add the provider to a legal entity
Connect your legal entity to the provider. By default Vallara uses the legal entity linked to your organisation's billing, and you can add more at any time.
Connect wallet addresses
Choose which of your addresses are whitelisted for that provider's exchange services.
Once an address is connected, you can exchange from it. See the Transactions guide for the exchange steps.
Read the Exchange page
| Wallet | Asset | Network | Address | Connected |
|---|---|---|---|---|
| Treasury | USDC | Ethereum | 0x4b1e…9f3a | Connected |
| Treasury | USDT | Tron | TKe2m…P7xRq | Connected |
| Operations | USDC | Base | 0x77c0…12de | Connected |
The page is grouped by legal entity. Under each one you see its provider and a table of connected addresses. A search box, filter and sort sit alongside two toggles: Wallet Addresses / Bank Accounts, and Legal Entity / Exchange.
Do it step by step
Add a legal entity when a different company in your group needs its own exchange connection.
A provider can only exchange from addresses you have connected to it. Connected addresses then appear in the provider's table on the Exchange page.
More from the Exchange tab
Connect an exchange provider to a legal entity
- Complete onboarding with the provider on its website first.
- On the Exchange page, find the legal entity and click Connect Exchange beside its name.
- Follow the on-screen steps to link the provider to that entity.
Who can use exchange
Members can run exchange transactions to whitelisted exchanges. Access to the Exchange settings themselves depends on the Exchange permission in each role (see the Team guide).
Earn
Earn lets you allocate funds from a wallet to a yield-earning protocol, then track each allocation's balance, rate and yield in one list.
Try it: press + to add funds or − to take them out, and watch the balance and 30 day yield follow. The minus button is dimmed when an allocation has a zero balance.
Do it step by step
Your organisation may require an approver to sign off new allocations. Approvers are always notified of these requests.
More from the Earn tab
Add funds to an allocation or take them out
- Find the allocation on the Earn page.
- Click + in the Actions column to add funds, or − to take funds out.
- Follow the on-screen steps to enter the amount and confirm.
The minus button is dimmed when an allocation has a zero balance.
Understand the rate and the yield
- Current Rate is shown as an annual percentage yield, for example 2.66% APY. Because it is variable, check it before you add a large amount.
- 30 Day Yield is what the allocation earned in the last 30 days. It is not a forecast.
Start an allocation from a wallet or address
You can also start from a wallet. Open the wallet and click Earn, or click the lightning icon on an address row. A dimmed lightning icon means Earn is not available for that address. A wallet's allocations are listed under Wallet Allocations in Wallet Details.
Read the Earn page: what each column shows
| Column | What it shows |
|---|---|
| Protocol and Asset | The protocol the funds are allocated to and the asset you hold in it |
| Wallet | The wallet the allocation belongs to |
| Address | The allocation's address, with a copy icon. Some allocations also have a name |
| Allocation Balance | The balance in asset units, with its value in USD |
| Current Rate | The current rate as an APY. It is labelled variable, so it can change |
| 30 Day Yield | What the allocation earned over the last 30 days, in asset units and USD |
| Creation Date | When the allocation was created |
| Actions | A plus button to add funds and a minus button to take funds out |
Use the search box to find an allocation. Click a row's chevron to open it.
Get alerts about allocations
Open Notifications, then Notification settings, then the Earn section. You can switch push and email alerts on or off for New allocation added, Allocation edits and Allocation archived. The alert for approving a new allocation is always on.
Transactions
Transactions is the record of everything that has moved through your organisation, and the place to start a new payment, transfer, exchange or allocation.
Try it: click any row to open its Transaction Details. Rows are listed newest first.
Start a new transaction
Click Transaction at the top right and choose Send, Receive, Move, Exchange or Earn. You can start the same actions from a wallet, an asset or an address, in which case the wallet or asset is already selected.
Use Send to pay someone outside your organisation. The recipient must already be saved as a beneficiary (see the Beneficiaries guide).
Before you confirm, check that the beneficiary's network matches the network of the address you are paying from. Funds sent to the wrong network can be lost permanently.
After you confirm, the transaction appears in Activity. If your organisation has approval rules, it waits there until enough approvers have approved it.
Use Receive to get the deposit details for one of your wallets.
The screen states the network the address accepts. Do not send tokens from any other network to it. Allow up to 10 minutes for incoming funds to be processed.
Use Move to transfer between wallets in your organisation. No beneficiary is needed.
Use Exchange to convert an asset through a connected exchange provider. Set up the provider and whitelist your addresses first (see the Exchange guide).
An exchange shows in Activity with both amounts, for example USDC and BTC.
Bulk upload: import many transactions at once
If you have a lot of payments or transfers to make, prepare them in one Excel spreadsheet and import it. Vallara turns each row into a draft. Nothing moves until you run a draft, so you can check every row first.
Sign in to “vallara.xyz” with your passkey.
Touch ID to use passkey
Try it: click the purple » button on a row to run that draft, the orange ! button to see why a draft is flagged, or the pencil to edit one. Tick the checkboxes to select drafts. The data shown is made up.
Use Import Excel to load your rows. The file becomes drafts, and Vallara takes you to the Drafts tab to review them.
Fill in either the native amount or the USD amount in each row, not both. A Send can only go to a saved beneficiary. Transfers between your own wallets are Moves and do not need a beneficiary.
After a successful import you see a green message such as Imported 5 transaction(s). The Import button reads Importing… while the file is processed.
Vallara flags a draft it can see a problem with. It shows an orange button instead of the purple » button.
Typical reason: the address does not hold enough of the asset. The message shows the amount that is available, for example Insufficient USDC balance. Available: 0.
You fix a draft in the same Send or Move screen you use for any transaction. When you have corrected it, you save or send the fixed version. Approval rules apply as usual.
Review and run your drafts
- Open Transactions and click the Drafts tab. Each row is one line from your spreadsheet.
- Check the Source, Destination, Amount and Asset, and read the Notes you added. File shows which spreadsheet the row came from.
- To change a draft, click the pencil button at the end of its row and edit its details.
- Click the purple » button at the end of a row to run that draft.
- Your device asks you to sign in with your passkey, for example with Touch ID. Confirm it.
- A green message such as Assets successfully moved! appears and the draft leaves the Drafts list.
- Click Activity. The transaction is at the top, first with the status Broadcast and then Completed.
Your organisation's approval rules always apply to drafts from a bulk upload, just as they do to any other transaction. If a rule covers the transaction, it waits in Activity for the approvers before it completes. See the Team guide.
To remove drafts you no longer need, tick the checkbox at the start of one or more rows to select them, then delete them.
What the spreadsheet needs
Use a Microsoft Excel file (.xlsx) up to 2 MB, with one row for each transaction and these column headings. Click Download sample in the Import Excel dialog to get a ready-made template.
| Column | Needed? | What to put in it |
|---|---|---|
| addressFrom | Required | The address the funds leave from |
| addressTo | Required | The address the funds go to. For a payment to someone outside your organisation, use an address saved as a beneficiary. |
| amount | One of the two | The amount in the asset itself, for example 25000 for 25,000 USDC |
| amountUSD | One of the two | The amount in US dollars |
| notes | Optional | A note. It appears in the Notes column of the Drafts list. |
Fill in amount or amountUSD for each row, not both.
What the Drafts list shows
| Column | What it tells you |
|---|---|
| Source and Destination | The wallet and address the funds leave and arrive at |
| Amount | The amount in the asset, with its USD value |
| Asset | For example USDC, BTC or ETH |
| Created and Created By | When the draft was created and by whom |
| File | The name of the spreadsheet the draft came from |
| Notes | The note from your spreadsheet |
Use the column headers to sort, and Rows per page and the page arrows at the bottom to move through a long list.
More from the Transactions tab
Download a statement
- Open Transactions.
- Click the statement button in the toolbar.
- The CSV file downloads to your computer. Open it in Excel or Google Sheets.
For a statement of a single wallet, open that wallet and use its statement button. See the Wallets guide.
Read the Activity list and find a transaction
The Activity tab lists your organisation's transactions, newest first. Each row shows an icon for the type of transaction, then the source, destination, amount, asset and network fee. Use the column headers to sort, and Rows per page and the page arrows at the bottom to move through the list.
- Click the search box and type an address or a transaction hash.
- Open Filters to narrow the list.
- Open a row to see its full details.
The Drafts tab lists draft transactions with their source, destination, amount, asset, creation date, creator and file. Drafts come from a spreadsheet import. See Bulk upload.
Transaction Details: what each field tells you
| Field | What it tells you |
|---|---|
| From and To, with addresses | Who paid and who received, with copy icons for each address |
| Amount | The amount in the asset, with its USD value |
| Network | The network the transfer used |
| Network Fee | The fee, and which wallet paid it (for example, Paid by: Fee Wallet) |
| Notes | Any note added when the transaction was created |
| Fee Priority | For example Standard |
| Status | For example Completed |
| Created At and Completed At | When it started and finished |
| Initiator | Who created it |
| Approval Group, Approvals Required, Approvals Received | Who had to approve it and who has |
| Tx Hash | The blockchain transaction ID, with a copy icon |
Click Show on block explorer at the bottom to open the transaction on a public blockchain explorer.
Allocate funds to Earn
Choose Earn from the Transaction menu to start a new allocation. The steps are in the Earn guide.
Beneficiaries
Beneficiaries is your saved list of external payees. A Send can only go to a saved beneficiary, so add each recipient here before you pay them.
Use the search icon to find a beneficiary, the checkboxes to select rows, and Rows per page with the page arrows to move through the list. Click a row's chevron to open it.
Do it step by step
Check the address character by character before you save it. A payment sent to a wrong address cannot be recovered.
Your organisation can require approval before a new beneficiary is added. If it does, the beneficiary becomes usable once enough approvers have approved it.
Use bulk upload to load a list from a spreadsheet.
More from the Beneficiaries tab
Pay a beneficiary
When you start a Send, you pick the beneficiary at the Select beneficiary step. You can search by name there, and click New Beneficiary to add someone without leaving the payment. The steps are in the Transactions guide.
Who can change beneficiaries
Adding, editing and removing beneficiaries depends on the Beneficiary Management permission in each role. A Member has partial access by default. See the Team guide for how roles and approvals work.
Team
Team is where you manage who can use Vallara, what each role is allowed to do, and who has to approve which actions.
Each row is one person with their Full Name, Email, Role, Approval Groups and Status. Use the search box to find someone, and a row's chevron to open it. Status is Active, Reauth Required (the person has to re-authenticate before continuing) or Removed.
Approvals in action
Approvals let you create groups of users with specific permissions, so payment flows run automatically while you stay in control. The example below shows a rule that needs two approvals for outgoing transactions above a USD threshold.
To see who approved a payment, open the transaction from Transactions. Approval Group, Approvals Required and Approvals Received show who had to approve it and who did.
Do it step by step
In the Approval Rules list, a rule on outgoing transactions has a Threshold in USD and a number of Approvals required. A beneficiary rule has no threshold. For example, one rule can require 2 approvals for outgoing transactions above a set threshold, and another can require 1 approval for adding a beneficiary.
More from the Team tab
Understand roles
Click Roles at the top of the Team page to see the default roles and how many people hold each. Click a role to see what it can do.
| Role | Summary |
|---|---|
| Super Admin | Highest level of access, with global permissions across the platform |
| Admin | Full operational control over your organisation's platform |
| Member | Can initiate and operate. Limited approval rights unless part of an approval group |
| Viewer | Read-only access to all your organisation's data. Cannot execute actions |
Custom roles are listed as coming soon. A role's detail screen lists permission areas, each marked No Access, Partial Access or Full Access:
- Entity: Security, Team, Exchange, Data and Billing.
- Wallets and payments: Management, Beneficiary Management, Approval Groups, Initiate Transactions, Execute Transactions, Wallet Information and Custom Access.
Click any permission area to see exactly what it covers.
Set up approvals: where to find them
Click Approvals at the top of the Team page. The screen has two lists: Approval Groups (group, members, rules) and Approval Rules (name, rule, threshold, approvals).
Notifications
Notifications is your inbox for alerts that need attention, such as low balances and approval requests, and the place where you choose which alerts reach you by push and email.
Try it: click Top up on the alert, or flip a toggle. Where an event shows Always on, the alert cannot be turned off.
Do it step by step
Some alerts need a threshold in USD. The alert fires when a balance is under it.
Set fee wallet thresholds high enough that you have time to top up before transactions start to fail.
More from the Notifications tab
Respond to a low-balance alert
- Open Notifications and find the alert. Its status is Action Required.
- Check the address and the balance in the description against the threshold.
- Click Top up and follow the steps to add funds.
Low balances on the Fee Wallet matter most, because transactions on a network cannot pay their network fee without it. See the Wallets guide for the Fee Wallet.
Read your notifications
- Inbox holds current notifications. History holds past ones, and shows “No history yet” until there are some.
- Each row shows the Type, a Description, the Date, the Initiator and the Status. System alerts show System as the initiator.
- A status of Action Required means someone needs to do something. Completed means nothing more is needed.
- Use the search box to find a notification, Filters to narrow the list, and a row's chevron to open it.
Choose which alerts you receive
- Click the bell icon at the right of the toolbar. Notification Settings opens.
- Use Browser notifications at the top to turn web push on or off. Web push follows the Push column.
- For each event, switch Push and Email on or off.
- Where an event shows Always on, the alert cannot be turned off.
The settings are grouped by area:
| Area | Alerts you can control |
|---|---|
| Wallets | Approve new wallet (always on), New wallet added, New address added, Wallet edits, Address name changed, Wallet archived, Address archived, Low TRX balance, Low TON balance, Unexpected asset received |
| Fee wallets | Low balance per network: Arbitrum One, Base, Berachain, BNB Smart Chain, Ethereum, Optimism, Polygon, Solana and Stellar |
| Earn | Approve new allocation (always on), New allocation added, Allocation edits, Allocation archived |
| Beneficiaries | Approve new beneficiary, New beneficiary added, Beneficiary edited |
| Team | Approve user invite, Approve approval group, Approve approval rule, User deleted, User details changed, New approval rule, Approval rule amended, Approval rule deleted, New approval group, Approval group amended, Approval group deleted |
| General | Technical issues, Service downtime, Scheduled maintenance, General platform and product updates |
